What personal data do we process?

On our website there are multiple places where you can contact us, for example to request support or to contact us in general. In these cases we process the following personal data:

What personal data do we process?

We process personal data for various goals.

‍Contact and maintain contact
When you use our website to contact us for one of the mentioned reasons, we process your personal data so we can contact you and maintain contact. We could, for example, contact you by email.

‍Sending our newsletter and mailings
When you have subscribed to our newsletter, we process your personal data in order to send you our newsletter. Optionally, we may personalize the news letter. If you don't want to receive our newsletter anymore, you can unsubscribe from each newsletter email (opt-out).

‍Register your visit
When you visit our office, we process your personal data in order to inform the person you are meeting of your arrival.

‍Improve our services
We process your personal data to improve our services. For example, we track click behavior on our website to analyze which pages and articles are read the most, but we do this completely anonymously. When given consent, we make anonymised recordings which we use for evaluation of website usage. And we track data about the use of our newsletter to gauge if they are interesting and relevant.

Special categories of personal data

We process special categories of personal data in common cases, such as:

• When you yourself actively send us special category data, for example in a support request or in an email.
  

We urge you to never send us personal data that falls under special categories if this is not necessary for our processing purposes.

Personal data of minors

We explicitly have no intention to collect personal data about website visitors that are younger than 16 years old, unless they have consent from a parent or guardian. We cannot, however, verify if a visitor is above the age of 16. We therefore advise parents to be involved in the online activities of their children, to prevent the processing of personal data of children without parental consent. If you are convinced that we processed personal data of a minor without parental consent, please contact us at privacy@avisi.nl, so we can remove this data.

Automated decision making

We do not apply the principle in which we make decisions that have (considerable) consequences for individuals based on automated processing. This concerns decisions that are made by computer programs or systems, without the involvement of a human being (such as an Avisi employee).

Data subject rights

As a data subject, you have a number of rights regarding your personal data that we process. We will do our very best to meet these rights. In order to use your rights, you can contact us by sending a specified request to privacy@avisi.nl.

• Information and access: You have the right to see what personal data we process of you. On request, we will also tell you how and why we have processed your personal data.
  
• Rectification: You have the right to rectification of your personal information.
  
• Right to be forgotten: You have the right have your personal data erased. A legal obligation may require us to yet process your personal data. In this case we will inform you about this in reply to your request.
  
• Restriction: Are you of the opinion that we process your personal information unlawfully or incorrect? Then you can express this to restrict processing.
  
• Objection: You have the right to object to the processing of your personal information. Is it for marketing purposes? Then we will stop processing your personal information as soon as possible.
• Portability: In some cases you have the right to transfer your personal information to yourself or another party.
  

You can also:

• Withdraw consent: For example, for receiving our newsletter (opt-out). If you want to withdraw your consent for a different processing, please contact us.
• File a complaint: Are you of the opinion that we don’t act conform the privacy law? Then we would like to hear from you. You can also file a complaint at a competent advisory authority.
  

To verify that a request to exercise a data subject right is done by you, we ask you to add a copy of your identification to your request. In the copy, hide your photograph, MRZ (machine readable zone), passport number and citizen service number to protect your privacy. We will respond to your request as soon as possible, but in any case within 4 weeks.

Retention periods

We do not store personal data longer than necessary for the purposes for which we process personal data. If you would like to know how long we store a certain personal data and for what purpose, please contact us at privacy@avisi.nl.

Legal grounds for processing

We process your personal data based on the following legal grounds:

• To perform or prepare an agreement (contact for a product or service, providing a consultation or intake interview, job application, organizing an event)

Legal grounds for processing

We do not share your personal data with third parties, except for carrying out our services. These third parties are data processors. We work, for example, with MailChimp for sending our newsletter and Jira Service Desk (Atlassian) for responding to emails and support requests. We also use Google Analytics and Smartlook. We do this only to carry out our agreement with you, for our legitimate interests or when we have your consent. These parties process personal data in accordance with the instructions of Avisi. A legal obligation can be a reason for us to share personal data with third parties.

Within Avisi, customer data is shared among its group entities. Your personal data may be shared as part of customer data. Customer data is only shared with group entities for the purpose of contacting the customer. Avisi processes customer data in line with the current laws and regulations (including GDPR)

Cookies & website visit

On our website we use various forms of cookies. We use functional and tracking cookies to ensure proper functionality of our website and to improve our website. When you visit our website, you indicate via the cookie banner whether we are allowed to store performance cookies.

Apart from your decision, we of course do process personal data if you have actively provided them to us, e.g. when you fill in a form or when you send us your resume. We use the following cookies:

Google Analytics

We use Google Analytics to keep statistics about the use of our website. We use pseudo-anonymous analytical cookies. We hereby adhere to the requirements of the GDPR to do this in a privacy-friendly manner. For example, we have ensured that data is encrypted and processed anonymously. In addition, we have disabled "data sharing" with Google. Finally, we have made processor agreements with Google.

Google AdWords

We may use Google AdWords to advertise our products/services on Google search results and across the web. AdWords remarketing will display relevant ads tailored to you based on your past visits to our website.

Facebook pixel

We may use Facebook Pixel and Facebook Ad Manager to deliver personalized advertisements to you on Facebook and Instagram based on your interactions with our website.
